This policy explains what information Red Phoenix AI (operated by Red Phoenix Holdings) collects through redphoenix.ai, how it is used, and your rights regarding that information. Red Phoenix AI provides AI automation consulting services including workflow audits, lead intake automation, AI agent builds, and internal workflow automation.
1. Information We Collect
We collect information in the following ways:
Contact form submissions
When you submit a contact form, we collect your name, email address, and the message you provide. This information is used solely to respond to your inquiry.
AI intake bot (Phoenix)
When you interact with the Phoenix bot on this site, your conversation messages are stored in our database (Supabase). We also store a hashed version of your IP address for rate-limiting purposes. Raw IP addresses are not retained. Conversation data is used to improve the bot and to follow up on qualified leads.
Discovery call bookings
If you book a call via Calendly, Calendly collects your name, email address, and scheduling preferences on our behalf. See Calendly's Privacy Policy for details on how they handle that data.
Lead qualification data
Information you share during intake conversations, including business type, problem description, and budget signals, is stored in our CRM (Airtable). This is used to assess fit, prepare for discovery calls, and manage the consulting relationship.
Web analytics
We use Vercel Analytics to collect standard web analytics: page views, referrer URLs, browser type, and country. This data is aggregated and does not identify individual visitors. No tracking cookies are set by Vercel Analytics.
2. How We Use Your Information
- To respond to inquiries submitted through the contact form
- To qualify and route potential clients through our intake process
- To prepare for and conduct discovery calls
- To improve the Phoenix intake bot based on conversation patterns
- To manage the consulting relationship and deliver services
- To understand aggregate site usage through anonymous analytics
We do not use your information for advertising, profiling, or automated decision-making beyond the intake scoring used to route leads.
3. Third-Party Services
We use the following third-party services to operate this site. Each is bound by its own privacy policy. We do not sell your data to any third party.
Database storage for bot conversation logs and rate-limit records
CRM for lead and project management
Discovery call scheduling
Website hosting and anonymous usage analytics
AI model powering the Phoenix bot (messages are processed to generate responses; Anthropic does not use API data to train models by default)
4. Cookies
This site does not set first-party tracking or advertising cookies. Vercel Analytics operates without cookies. If you navigate to Calendly to book a call, Calendly may set its own cookies on their domain, governed by their privacy policy.
5. Data Retention
- Bot conversation logs: retained for 90 days, then deleted automatically
- Contact form submissions: retained until the inquiry is resolved or for 12 months, whichever comes first
- Lead and CRM data: retained while a business relationship is active or under evaluation; deleted on request
- Analytics data: aggregated and not linked to individuals; no personal retention applies
6. Your Rights
You have the right to:
- Request a copy of the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data
- Object to or restrict how your data is used
To exercise any of these rights, email paul@redphoenix.ai. We will respond within 30 days. Requests for deletion will be honored unless retention is required for legal or contractual obligations.
